JOB DESCRIPTION AND PURPOSE
Ackermans is looking for a Personal Assistant for the Chief Executive Operations based at our Support Centre in Kuilsriver.
We are looking for a resilient and efficient individual, with a high energy level and a compelling sense of urgency to play a key office support and organizing role for the Chief Executive Operations.
Our ideal candidate will need to be highly organized and provide general secretarial and administrative duties for Operations within the team.

KEY RESPONSIBILITIES
- Effective Administration:

- Attend meetings for minute taking and distribution
- Presentation preperation
- Communication with internal and external Stakeholders
- Filing and recordkeeping of documentation

- Travel and related reservations:
- Research and benchmark quotes
- Confirmation of travel detail
- Communicate and distribute documentation to travellers
- Coordinate and arrange functions within Operations:
- Annual Operations conferences for Store Managers, Field Management and selected Support Centre staff:
Calendar/ Diary management for Operations Executive:
- Diary and calendar synchronisation
- Scheduling of core impact meetings:
- Monthly Ops Management meetings
- Pepkor Property Board Meetings
- Strategy meetings

- Ordering of badges
- Sourcing approved supplier for uniforms
- Coordinate uniform design
QUALIFICATIONS
- Essential: Grade 12 Certificate/ Matric
- Preferred: A Secretarial Diploma
KNOWLEDGE, SKILLS AND EXPERIENCE
Knowledge
- A grasp of Retail Operations environment
- Travelling coordination (local and international)
- Working knowledge of SAP
- TravelIT system
Skills
- Proficiency in the latest Microsoft packages (Word, Excel, Power Point & Outlook) is an important requirement
- Proficiency in virtual communication (MsTeams)
- Excellent language skills (verbal and written)
- High levels of confidentiality, credibility and trust, manage confidential information with utmost discretion
- Customer service focus both internally and externally and ensuring good interpersonal relationships
- Accuracy in execution, attention to detail and reliability in meeting set deadlines and work with sense of urgency
- Set priorities and uses organisation and administration skills
- Highly flexible and willing to handle a variety of tasks

Experience
Essential:
- A minimum of 5 years’ relevant experience gained in a secretarial/PA position for a Chief Executive/Director
Preferred:

- Experience in dealing with customer relations would be an advantage.
- Experience in Retail would be an advantage
- Experience in Events Management
